CCMC currently has a full-time Business Office Administrator position at Celebration in Celebration, FL!

The Business Office Administrator will work in a fast-paced, challenging team environment providing administrative support to Executive Director, Community Manager, and Leadership Team as needed and assist the Community Manager in the day-to-day operation of the association. As well, as provide customer solutions support to residents, teammates, and professional monthly reporting to the Board of Director and Committee Volunteers.

The Business Office Administrator will provide confidential administrative support to Executive Director and Community Manager to include drafting and proofreading correspondence, daily monitoring of in/outboxes and mail correspondence; plan and prepare for annual meetings, monthly Board meetings, and special meetings; organizing attendance, preparing all necessary copies, exhibits, notices, etc. and securing a location for meetings as requested; be present for all entity meetings – responsible for setting up for and recording the meeting minutes; answer phones on behalf of Executive Director and Community Manager; write policies and procedures as needed for management departments; control and maintenance of all official documents; maintain good stewardship of all entity records; control and maintenance of association and insurance requirements; maintain files for association insurance policies; maintain records for Board of Directors to include new Board Member binders, certificates; file Annual Statements with SUNBIZ for all entities; ensure tax returns are signed, mailed, scanned and forwarded to Corporate Liaison; maintain records of Committee Members, including regular correspondence to confirm meeting attendance, quorum, and Officer duties; organize, plan and record for annual and Board/Committee meetings; minutes, board packets, room set-up, coordinate speakers, refreshments, etc.; maintain all meeting schedules for CROA, CJC and CNOA; coordinate the monthly and quarterly Board and Committee Meeting reports for all entities; assist Executive Director and Community Manager with coordination of all components of CROA Elections; assist with Budget Process for CROA, CJC, CNOA; oversee accuracy of records of all Association Vehicles; oversee to completion all public records requests pursuant to Florida State Statute; assist Community Manager in developing and administering the annual operating budget and update of the reserve study; complete annual inventory of association assets; maintain updated facility records, including warranty.

The ideal candidate will have at least two years’ experience as an Administrative Assistant or five years of comparable work experience. Strong computer skills with Microsoft Office and database software. Attention to detail is required. Must possess a valid driver’s license. At least five years of documented executive administrative experience where corporate and intellectual confidentiality has been protected is preferred. Writing and spreadsheet samples will be provided as part of the interviewing process, and professional recommendations from previous executive leadership will be requested.

Work is conducted indoors in an office environment where the employee must sit or stand for long periods. The employee may be required to lift and move up to 40 lbs repetitively. The employee is required to talk and hear and have the ability to focus and attend to long periods of discussion while taking minutes. This role does not reflect regular business hours. Requirements to work after hours, weekends, and possibly holidays to accommodate meetings and special events as required.
